Your Safety Is Our Priority


At HELP2SERVE.CARE, your safety, health, and well-being are our top priorities. While traveling and volunteering in low-resource and remote regions can present unique challenges, we’ve put strong systems in place to support and protect you every step of the way.


Our volunteer programs are built on trust, preparation, and partnership—and the majority of our participants complete their experience safely and successfully.


⏳ While our travel tours offer an abundance of adventure and sightseeing opportunities, our volunteer weeks also include scheduled blocks of time for local exploration and relaxation.


In all cases, your safety always comes first—which is why volunteers are not permitted to explore alone. Every free-time activity must be done in a small group, following our well-established safety protocol.

🛡️ Essential Safety Precautions for Small Groups Abroad


As part of every Help2Serve.Care trip, your safety is our top priority. That’s why we’ve implemented the following safety standards for all participants, especially during independent or free-time activities:


✅ Required Group Size


When engaging in any activities away from the main group, you must travel in groups of at least four fellow volunteers.


Why four? This “Two Pairs Method” ensures:


  • If someone gets injured or needs help, one person stays with them
  • The other two can go get assistance
  • No one is ever left alone


This buddy system will be introduced during your Pre-Departure Safety Training and reinforced each day during our Morning Safety Briefings.


🔄 Daily Safety Briefings


We will conduct:


  • A comprehensive safety and cultural expectations orientation during your Pre-Departure Meeting
  • Country-specific protocols customized to your destination
  • Morning safety reviews before daily excursions


These discussions will include key topics such as:


  • Local laws and customs
  • Cultural norms
  • Emergency procedures
  • Host country recommendations and travel alerts


📱Tech-Enabled Safety Tools


We will use shared group chats and location-sharing apps (such as WhatsApp and Life360) to:


  • Maintain real-time contact
  • Monitor group safety
  • Respond quickly in case of emergency


What Else Do We Do to Keep You Safe?


Every accommodation and volunteer site is carefully vetted and selected based on strict criteria, including:


  • Proximity to medical, banking, and essential services
     
  • Reliable access to transportation and communication
     
  • Clean, comfortable housing conditions
     
  • Trusted relationships with local coordinators and hosts
     

Our team performs routine check-ins and regular evaluations to ensure your surroundings are safe, secure, and welcoming.


Local Coordinators You Can Count On


Our in-country staff are trained professionals with deep knowledge of the local area and a long-standing commitment to volunteer safety. They are prepared to respond to:

They’ll ensure you get the care and support you need, whether that means medical attention, help from local authorities, or embassy assistance.


We’ll Help You Get Ready


Once your deposit is paid, you’ll receive access to a detailed Pre-Departure Guide that includes:


  • Country-specific safety information
     
  • Local customs and basic language tips
     
  • Emergency contacts and support numbers
     

We strongly recommend saving these contacts and sharing them with your emergency contact at home before you travel.


Know Before You Go


About 3 weeks before your trip, at your pre-departure meeting you'll receive:


  • A summary of your volunteer placement
     
  • Departure instructions and who will meet you
     
  • Your local coordinator’s name and contact info
     
  • A suggested supply/donation list/packing list
     

At your pre-departure meeting, you’ll also have be introduced your you fellow volunteers so then you can exchange names and emails of fellow volunteers in your host country so you can continue to connect in advance.


Emergency Contact Support


We maintain 24/7 emergency lines staffed by a HELP2SERVE.CARE representative to:


  • Assist with delayed or missed flights
     
  • Relay urgent messages from your family (e.g., illness or emergency at home)
     
  • Address concerns about your safety or well-being while abroad


Where You'll Stay


We partner with trusted guesthouses, and dorm-style housing that meet our hygiene, safety, and comfort standards. In most locations:


  • Telephone access is available 24/7 (but this may mean for emergencies only).
     
  • Wi-Fi may be available (some sites charge a small fee)

Your orientation your first volunteer site will include:


  • A tour of the area and your accommodation
     
  • Guidance on program sites and local hotspots
     
  • An overview of safety and emergency procedures

As a volunteer, your role is strictly observational. You will not provide direct patient care or medical intervention. All clinical experiences will be under the direct supervision of a licensed local healthcare professional.

📵 No Devices During Clinical & Volunteer Activities


To ensure respect, privacy, and focus, phones, cameras, and recording devices are strictly prohibited during the following:

  • 🤝 All volunteer service activities and training sessions

During these moments, devices must remain stored and silenced. You may use personal devices only during free time, and never within or near patient care areas or volunteer events.

We’ve got you covered! Group leaders will help coordinate photo opportunities during appropriate times and locations—with permission—focused on your experience with fellow volunteers (not patients or clinical settings).

📝 Expectations & Conduct Guidelines


At HELP2SERVE.CARE, your journey is about more than volunteering—it’s about respect, commitment, and purposeful impact. Please take a moment to understand the expectations that keep our experience safe, ethical, and empowering for all.


🔹 Follow the Lead of Clinical & Project Staff


All participants are expected to follow the rules, guidance, and policies set forth by both your local Project Coordinator and clinical leadership team.


🎯 Be Present & Committed


You are expected to participate fully in all volunteer activities unless illness or unforeseen emergencies arise. During your volunteering focused part of your immersion experience, sightseeing and side trips are only permitted during scheduled excursions outlined in your itinerary.


Program schedules are carefully designed by HELP2SERVE.CARE in collaboration with local partners and cannot be changed upon request. Any time-off requests must be for emergencies and approved by HELP2SERVE.CARE leadership.


Failure to follow your program schedule may result in immediate dismissal.


🌍 You’re Here to Serve


We are guests in the host country. Our role is to serve with humility, gratitude, and cultural sensitivity. This is a unique opportunity to represent your country with honor and uplift communities through service.


🚫 Zero Tolerance Policies


  • Possession of illegal substances is strictly prohibited and grounds for immediate dismissal.
     
  • Alcohol is not permitted during the clinical/volunteer portion of your program.
     
  • During the adventure tour, alcohol may be consumed in moderation during designated free time only—never during excursions or transport. Note: alcohol can only be consumed by those of legal age per the host in the host country, no exceptions.
     
  • Any form of intoxication or misconduct can result in program termination.
     

✅ NEUTRALITY


🕊️ Avoid political discussions. This experience is about service, not politics. Please refrain from expressing personal political views or preferences while abroad and during any and all experiences while serving with or on your adventure tour with HELP2SERVE.CARE. Staying neutral helps build trust and respect with local communities and fellow volunteers. Also, expressing political views via clothing or other non verbal actions or forms of media is also not permissible during your HELP2SERVE.CARE experience. Political based communications (verbal or non-verbal) can result in program termination.


💬 Cultural Sensitivity is Essential


  • Keep an open mind and respect the customs of your host community.
     
  • Be mindful of local dress codes—what’s acceptable at home may not be appropriate abroad.
     
  • Please treat all people—especially local staff, hosts, and leaders—with dignity and respect.
     
  • Avoid political events or demonstrations at all times.
     

👥 Relationships Abroad


Please use discretion when interacting socially, especially in personal or romantic contexts. Be aware of risks including STIs and cultural misunderstandings. Our priority is your safety and well-being.


🏠 Program Structure & Accommodations


Accommodations and placements are thoughtfully arranged and cannot be changed in-country. Requests must be made to HELP2SERVE.CARE leadership before changes can be granted.


🏠 Respecting Your Host Accommodations & Local Community


Your host is opening up their treasured place to you—please honor that generosity by respecting their space, their culture, and the rules. This not only ensures a positive experience for everyone, but helps you build meaningful and lasting relationships during your stay.


✅ Follow Local Customs and Expectations


Be mindful of our hosts guidelines and traditions and embrace the opportunity to learn and adapt with gratitude.


🚫 No Guests or Overnight Visitors


Please do not invite outside guests or friends to your accommodations. Overnight visitors are not permitted under any circumstance, for your safety and out of respect for our hosts and your peers.


🏡 Keep It Tidy & Help Out


Maintain a clean and organized personal space. If appropriate, and if your feeling generous, offer to assist with small chores for our hosts—it’s a simple and powerful way to show appreciation and contribute to the overall experience.


🙅 No Smoking or Drinking


The use of alcohol or tobacco inside our host accommodation is not permitted. Respect this rule at all times to maintain a safe, healthy, and respectful environment.


💸 Handle Any Damages Responsibly


Treat the our hosts accommodations and all belongings with care. If something is accidentally damaged, please inform your host family and be prepared to take responsibility.

From the moment you land, all in-country travel—airport pickup, lodging transfers, volunteer sites, and adventure tours—is fully pre-arranged and FREE to you as a participant.


📍 Departure Times & Locations Are Fixed


To ensure a smooth and safe experience, transportation only departs at designated times and from designated locations. There are no alternate free transport options.


💸 Need Different Travel Arrangements?


Any request for alternate or personalized transportation will be at your own expense and must be pre-approved.

For your protection, you are required to travel with the group at all scheduled times. Choosing to separate from the group or arrange your own transit may result in dismissal from the program for violating our safety protocols.

🌍✨ Travel Insurance Commitment & Participant Agreement


At HELP2SERVE.CARE, your safety, well-being, and peace of mind are our top priorities. To ensure a secure and successful experience abroad, all participants are required to carry specific travel insurance. This agreement outlines what is needed and how we can support you in making sure you’re covered.


1. ✅ What You’re Required to Have


Before participating, you must purchase a travel insurance policy that includes at least the following:


• Trip Cancellation Protection – to help recover expenses if you’re unable to attend for an unexpected reason


• Emergency Medical & Evacuation Coverage – to support you in case of illness or injury


• Coverage for All Adventure Activities In Your Specific Program Plan – your adventure tour part of your program plan typically will include activities like ziplining, rafting, surfing, kayaking, or similar activities, (see your specific program plan of choice which will lists all your adventure activities). Please know your policy must include coverage for all the adventure activities in your specific program plan. Please check the details with your chosen insurance provider when purchasing your plan and know most plans do not automatically cover all activities and often you will have to add/purchase additional “riders” for adventure activities.


• Medical Insurance – valid throughout your entire time abroad, covering clinic or hospital visits, illness, and emergencies


Your coverage must begin at least before or on the day you depart and end after you return home, fully covering your immersion experience dates.


2. 📄 What You Will Need to Submit


To keep everything smooth and secure:


• No less than 30 days prior to your departure date you will be required to upload a copy or clear photo of your insurance confirmation (showing your name, policy number, and provider)


• Please remember to carry a digital or printed copy of your policy with you during your entire immersion experience.


These steps are required for participation and help ensure your safety.


3. 🤝 Your Responsibility


By joining HELP2SERVE.CARE immersion experience program, you agree to:


• Purchase and maintain the required travel insurance

• Confirm that your policy meets the minimum standards

• Understand that HELP2SERVE.CARE does not provide insurance and is not liable for uncovered costs

• Accept that failure to provide proof of insurance may result in removal from the program

4. 🧳 Strongly Recommended Coverage

In addition to the required coverage listed above, we highly recommend you include:


• Baggage Loss or Theft Coverage

• Baggage Delay Reimbursement

• Trip Delay or Interruption Coverage

• Accidental Death & Dismemberment (AD&D)

• Repatriation of Remains

• 24/7 Travel Assistance Services


And please know: 


Travel insurance won’t cover every situation. Common exclusions include:


  • ❌ Incidents related to alcohol or drug use
     
  • ❌ Injuries from extreme or high-risk adventure activities (unless covered under a specific rider)
     
  • ❌ Non-emergency treatments that can wait until you're back home
     
  • ❌ Some pre-existing medical conditions
     
  • ❌ Ongoing care that is required after your return


5. ❤️ Health Insurance vs. Travel Insurance


Most domestic health plans do not cover international care. That’s why dedicated travel insurance is required—it’s designed to protect you from the unexpected while you’re abroad.
