πŸ“’ What’s Not Included in Your Program Fee?

We believe in transparencyβ€”no hidden fees, no surprises.

At HELP2SERVE.CARE, a mission-driven 501(c)(3) nonprofit, we’re proud to offer a comprehensive, all-inclusive global immersion experience at an affordable cost. That said, a few essentials are your responsibilityβ€”and we want to make sure you’re fully prepared.

  • πŸ›‘οΈ Travel medical insurance, additional riders for high risk activities offered in your program plan, & trip cancellation coverage (all required)
  • πŸ“˜ Passport and visa fees, plus vaccinations or travel medications
(as recommended by your healthcare provider)
  • πŸŽ“ Any fees associated with receiving academic credit
(for students seeking university or institutional credit)

🚫 Not Covered in Your Program Fee: Personal needs, special needs, or special requests

While your HELP2SERVE.CARE immersion program is designed to be as all-inclusive as possible, certain personal or recreational expenses  or special requests are not included. These may include:

  • Optional recreational activities not listed in your program plan (e.g., scuba diving, windsurfing, specialty tours)

  • Extra purchases like souvenirs, drinks, or snacks from local markets or cafes

  • Additional meals , snacks, transportation or events, etc. outside the program itinerary

πŸ’‘ Important: If you choose not to participate in a pre-paid adventure activity, you cannot exchange it for another activity at a discount or for free. Always refer to your Program Plan for a detailed list of what is included.

How Are Meals Handled on Logistically Busy Days?

On certain daysβ€”due to scheduling or locationβ€”you may receive a cash allowance for a meal (e.g.,  lunch) or snacks instead of a group meal. Examples include:

  • Days spent at a beach or during adventure activities

  • When volunteering at a hospital, clinic, or other community setting with an on-site cafeteria or local eatery or markets nearby

  • Other situations where eating together isn’t logistically possible

This approach ensures we maintain the all-inclusive nature of the program while giving you flexibility to choose a local meal or snack.

We will still provide:

  • Purified drinking water

  • Light snacks

  • Support for finding healthy, local options

What About Dietary Preferences or Special Foods?

Your program includes standard vegetarian meal options when requested in advance. For other specific dietary needsβ€”such as allergies, gluten-free, vegan, or medically required dietsβ€”we will do our best to accommodate.

However, please note:

  • Beyond standard offerings, you may need to supplement meals at your own expense

  • Some meals (such as your arrival day snack or meal) may not be included in your plan due to logistics

  • It’s important to check your Program Plan to plan ahead

Plan Ahead to Avoid Surprises

Always review your Program Plan carefully to understand:

  • What meals and snacks are covered

  • What situations might involve cash allowances

  • What dietary needs can be accommodated

  • Which items may not be included

What Should I Expect for Laundry, Internet, and Electricity?

As part of your immersive experience, some conveniences may be limited during your time abroad.

Please note that the following are not included in your program fee and may not be consistently available:

  • πŸ‘• Laundry services

  • πŸ“± Cellular service

  • πŸ“ž Local or international calling

  • 🌐 Internet access beyond what may or may not be always available or  provided at accommodations or volunteer sites

Please note also the following are comforts that also may not always be consistently available:

  • ⚑ Consistent access to electricity (in some rural areas)

  • πŸ› Hot  water

We encourage you to come prepared for occasional power outages and variable connectivity. As part of your pre-departure orientation, we’ll provide a additional packing list items, including smart essentials like:

  • πŸ”¦ A small flashlight or headlamp

  • πŸ”‹ Portable chargers

  • 🚿 Quick-dry or travel laundry items (optional)

While some modern comforts may be limited, you'll gain so much moreβ€”real connection, perspective, and purpose. We’ll support you every step of the way.

If you’re unsure whether something is covered, please don’t assumeβ€”ask us!

We’re happy to help clarify anything so you can feel prepared, supported, and focused on making the most of your experience.

✈️ Are Flights Included in the Program Cost?

Noβ€”flights are not included in your program fee. But don’t worryβ€”we make it simple to travel with your group and arrive safely and confidently.

πŸ‘‰ For every destination, we organize optional group flights at competitive rates. These flights typically depart from the region with the highest number of confirmed participants to help you travel together.

✈️ Prefer to book your own flight? That’s absolutely fine! We can also connect you with other volunteers from your area (when possible), so you can coordinate independent travel if you choose.

πŸ“† When Will I Get Flight & Travel Information?

You’ll receive two key travel documents leading up to your departure:

πŸ“„ Generalized Program Plan

Published and sent to applicants who have already applied and have been accepted approximately 3 months before departure, this document includes many details including the following:

  • Group flight details (dates and times), including departure/return from designated airports

  • Where to meet for group flight boarding and check-in

  • Access and attendance information for your required attendance at the pre-departure meeting (held ~3 weeks prior to host country departure)

  • General information regarding the in-host country orientation timing at the in-host country arrival airport

πŸ“„ Detailed Program Plan

Sent only to applicants who have already applied and have been accepted approximately 3 weeks before departure; this document will also be reviewed in your pre-departure meeting and includes among many other details the following:

  • Exact details regarding the in-host country orientation time and location at the designated in-host country airport

  • Note the required airport meeting point in the host country will be after immigration, outside security, but still within the airport itself (e.g,, typically at a lobby area within the airport)

  • Details on your private all participant transportation plan to start your volunteer immersion and to check into lodging with the group

  • Emergency contacts and contingency plans

  • Your final check-out meeting details and return airport transportation information that will occur on the last day of your immersion.

πŸ›¬ Required Host Country Arrival: Group & Independent Travelers

All participantsβ€”whether on a group or individual flightβ€”must arrive at the same host country airport at or before the latest group flight arrival time.

πŸ“ There will be a Required Airport Arrival Orientation, held:

  • Inside the arrival airport lobby

  • After you pass through immigration and customs

  • About 1–2 hours after the last group flight arrives

This is the first official in-host country meeting of your program and attendance is mandatory.

🚐 Group Transportation from the Airport

After your brief orientation in the airport, you’ll board required private transportation to your host community volunteer focused lodging.

βœ”οΈ All transport is pre-arranged and included at no cost to you.

⏰ It departs only onceβ€”from a specific location at a specific time.

πŸ“Œ No alternate free transportation options are available. If you miss this, you’ll be responsible for any additional transportation costs. Please know not staying with the group is not following our safety regulations, and you may be asked not to continue in the program if you are putting yourself at risk, we are here to help keep you safe as our top priority.

πŸ“… What Should I Know About My Flight Home?

Departure Day

Typically the day will start with an early breakfast, always a final check-out for all participants, and a warm goodbye. You'll then board your return airport transportation, included for:

  • All group flight participants

  • Independent travelers with matching or later flight times on the same day as the group flight departure(s).

βœ”οΈ This return trip is optional for independent travelers, but remember:

πŸ‘‰ There is only one shared shuttle to the airportβ€”no alternate free return transport will be offered.

πŸ“ A brief check-out meeting is required for all participants, and will be held about 3 hours before the group flight departsβ€”typically in the accommodation lobby prior to anyone leaving to the airport.

🧭 Important Reminders

πŸ•’ Don’t book flights until your Generalized Program Plan is published (~3 months before departure) and only after your have been accepted into your program plan of choice.

  • Emergency contacts and contingency plans

  • Airport in-host country required orientation meeting point and to and from airport transport details

  • Final  check-out locations, dates, and times

πŸ“ Independent Travelers:

🚨 You must attend the scheduled 1) in-host country orientation at the designated in-host country arrival airport on the first day of your trip and 2) departure check-out meeting at the final accommodation location lobby on the last day of your tripβ€”to insure safety and coordination.

βœ… What You Need To Do Next

πŸ“© ~3 Months Before Departure

  • Review group flight information made public for those who have not already applied and which will also be emailed to accepted applicants

πŸ“© ~3 Weeks Before Departure

  • Review your final program plan carefully

  • Attend your mandatory pre-departure meeting

  • Be ready and on time for the Required In-Host Country Airport Orientation

πŸ’΅ Yes and Yes! Your Program May Be Tax Deductible

βœ… Yes, your program is run by a registered nonprofit

βœ… Yes, a portion of your fees may be tax deductible

πŸ“Œ What You Need to Know

Approximately 50% of your total program cost may be tax deductible for you or your donors. We’ll provide a formal tax receipt upon requestβ€”helping you fundraise smarter and save more.

[Button: πŸ“„ REQUEST A TAX RECEIPT]

🌟 Why This Matters

  • πŸ’Έ More Affordable: Reduce your out-of-pocket costs through eligible tax deductions
  • πŸ™Œ Fundraising-Friendly: Confidently share your donation link with friends, family, or sponsors
  • 🫢 Mission-Driven: As a 501(c)(3) nonprofit, your payment supports serviceβ€”not profit

πŸ“ What’s Deductible?

Only the portion of your program that directly supports volunteer work qualifies (i.e., excursions or non-service activities are not deductible). On average, this is about half of your total fee, but it can vary based on your specific itinerary.

If you’d like to know the estimated deductible amount before submitting your deposit, just askβ€”we’re happy to help you plan ahead!

Your final payment is due 45 days before your program begins in your host country. πŸ“…
You can choose what works best for you:

  • πŸ’° Make smaller payments along the way

  • πŸ’΅ Or pay in full all at once

Just be sure your balance is fully paid by the 45-day mark.

Check your Program Plan for exact dates and payment details.

πŸ’΅ Most volunteers find that $150–$300 USD is more than enough for optional personal expenses like souvenirs, special snacks, or small gifts. Since many items are typically less expensive abroad than in the U.S., your money can go further than you might expect.

πŸ’° Bring a Backup Emergency Fund

You never know what may come up β€” a last-minute issue with your personal travel arrangements, a medical need, or not expected issue.

β€’ Plan ahead and set aside extra funds in a separate account you can access internationally.

β€’ Even if you don’t need it, you’ll feel more confident knowing you’re prepared.

πŸ›‘ Volunteer Conduct & Clinical Boundaries

As a volunteer, your role is strictly observational. You will not provide direct patient care or medical intervention. All clinical experiences will be under the direct supervision of a licensed local healthcare professional.

πŸ”’ Why This Matters:

Respecting patient safety, local laws, and medical regulations is not just importantβ€”it’s essential. We are guests in a host healthcare system, and professionalism is non-negotiable.

πŸ“΅ No Devices During Clinical & Volunteer Activities

To ensure respect, privacy, and focus, phones, cameras, and recording devices are strictly prohibited during the following:

  • πŸ₯ Any time inside hospitals or clinics
  • 🀝 All volunteer service activities and training sessions
  • πŸ“‹ Any interactions related to patient care

During these moments, devices must remain stored and silenced. You may use personal devices only during free time, and never within or near patient care areas or volunteer events.

πŸ“Έ Want photos?

We’ve got you covered! Group leaders will help coordinate photo opportunities during appropriate times and locationsβ€”with permissionβ€”focused on your experience with fellow volunteers (not patients or clinical settings).

πŸ™…β€β™‚οΈ Social Media & Privacy

Please do not post photos, videos, or recordings from any healthcare facility, training, or service activity. This includes:

  • Patients, families, or clinical staff
  • Any volunteer sessions, events, or training moments
  • Local community members or private property without clear verbal or written consent

⚠️ Always ask before capturing or sharing.

We want you to remember your experienceβ€”the right way.

βš–οΈ Legal & Ethical Boundaries for All Volunteers

Even if a licensed U.S. provider is present with your group (and one will be), your scope of practice as a foreign volunteer is extremely limited. This policy protects you, the patients, and the integrity of the program.

βœ… All volunteers must sign a formal acknowledgment of these guidelines before departure.

🚨 Violation of these policies can lead to:

  • Immediate removal from the program
  • Possible legal consequences in the host country
  • Loss of any program-related privileges or certifications

❀️ Thank You for Upholding These Standards

By honoring these policies, you demonstrate professionalism, respect, and cultural humilityβ€”qualities that define the very best future healthcare providers.

🀝 Meet Your Team Before You Travel

Yes, you’ll meet your group leader and fellow volunteers approximately three weeks before departure during a pre-trip orientation event. This collaborative session helps you connect, prepare, and build momentum before your immersive experience begins.

πŸ‘₯ Volunteer groups typically include 15 to 25 participants, and you’ll stay together as one close-knit team throughout both the volunteer service portion (e.g., 7 days) and the adventure tour portion (e.g., 7 days) of your journeyβ€”forming lifelong friendships along the way!

πŸ‘¨β€βš•οΈ A Licensed U.S. Healthcare Provider Will Be Onsite

At least one licensed U.S. healthcare provider will join your group during all clinical volunteer days. This provider will:

  • Be onsite for patient-related activities

  • Offer support and guidance to all volunteers

βœ… You’ll meet this provider at your pre-departure orientation, along with your travel group and leadership team.

🌎 Who Joins Our Volunteer Teams?

We thoughtfully select each group of volunteers to foster a positive, collaborative, and mission-aligned experience. Our application process helps us assemble diverse, well-supported teams for each unique immersion.

🧠 Our mission emphasizes:

β€œWe especially welcome college students, pre- and active health profession track students, gap year students, early-career health professionals, and others who are passionate about service, eager to grow, and ready to make a difference.”

πŸ‘©β€βš•οΈ Typical Volunteer Group Makeup

Here’s a snapshot of who you’ll likely serve alongside:

  • 60–75% are typically students on health profession tracks
(e.g., pre-nursing, nursing, pre-med, PA, NP, MPH candidates)
  • Others may be friends of these students or invited peers
  • We also welcome students from complementary fields such as:
🧠 Psychology, πŸ“š Social Work, πŸ“° Journalism, 🌍 Public Administration, and more
  • Often, each group includes one or more volunteers driven by pure passion for serviceβ€”no clinical background required!
  • Occasionally, an additional practicing U.S. provider joins the group simply to serve and support

❀️ Final Thought

No matter your background, if you’re driven by compassion and a desire to make a difference, you’ll find your place in this journey. This is more than a tripβ€”it’s a shared mission.

Yes! Travel With Others and Share the Journey

We love when friends travel together! Whether you're coming solo, with a best friend, a small or large group, or your entire cohort, you’ll be welcomed with open arms.

Our programs are built to be inclusive and unifyingβ€”no matter how you arrive, you’ll leave with new connections, unforgettable memories, and a shared purpose: serving others with grace and humility.

[Button: ✍️ How to Travel Together]

To be considered for the same program:

  • πŸ’¬ List your friend(s) or group name in the application

  • 🏫 If you’re traveling with a academic or professional group (e.g.,  university, college,  etc.), be sure to indicate that too

  • ⏳ Apply early β€” applications are reviewed first come, first served

We’ll do everything we can to place you together and make it a journey you’ll never forget.

You’re In the Right Place!

First-time travelers are absolutely welcome!

Our programs are designed to help you feel safe, supported, and confident from the moment you apply to the moment you return home.

You’ll join a team of like-minded peers, be guided by experienced leaders, and be part of a community that’s with you every step of the way.

Yes β€” Bring Your Phone and Stay Connected!

We absolutely encourage you to bring your phone! πŸ“Έ
It’s perfect for:

  • Staying in touch with family and friends

  • Capturing amazing memories

  • Taking notes and staying organized on your journey

Most of our program sites offer Wi-Fi and cell service, but it’s important to check with your mobile provider before departure to understand your international rates for calls, texts, and data.

Bringing your phone is a smart way to stay safe, connected, and presentβ€”just be mindful of when and how you use it so you can fully enjoy the experience!

Why Do I Need a Background Check to Volunteer?

At HELP2SERVE.CARE, the safety and well-being of the communities we serveβ€”and of all our participantsβ€”is our top priority.

A criminal background check is a standard part of the application process for all volunteers, no matter their role or location.

This simple step helps ensure:

  • βœ… A safe and supportive environment for everyone

  • πŸ›‘οΈ Trust with our local partners and communities

  • πŸ‘₯ Alignment with our commitment to ethical and responsible service

What Could Affect My Acceptance?

While every application is reviewed thoughtfully, certain types of convictions may prevent a participant from being acceptedβ€”especially those involving:

  • Violence

  • Harm to children or vulnerable populations

  • Theft or fraud

  • Serious legal or ethical violations

If you’re unsure whether something in your history may affect your eligibility, we encourage you to reach out confidentially. Our team is here to listen, guide, and answer your questions with care and respect.

What’s the Cost of a Background Check?

The cost of a background check varies depending on your location and provider, but it typically ranges between $20–$40 USD.

We’ll provide instructions and recommended services to make the process as smooth as possible.

🌍✨ Travel Insurance Commitment & Participant Agreement

At HELP2SERVE.CARE, your safety, well-being, and peace of mind are our top priorities. To ensure a secure and successful experience abroad, all participants are required to carry specific travel insurance. This agreement outlines what is needed and how we can support you in making sure you’re covered.

1. βœ… What You’re Required to Have

Before participating, you must purchase a travel insurance policy that includes at least the following:

β€’ Trip Cancellation Protection – to help recover expenses if you’re unable to attend for an unexpected reason

β€’ Emergency Medical & Evacuation Coverage – to support you in case of illness or injury

β€’ Coverage for All Adventure Activities In Your Specific Program Plan – your adventure tour part of your program plan typically will include activities like ziplining, rafting, surfing, kayaking, or similar activities, (see your specific program plan of choice which will list all your adventure activities). Please know your policy must include coverage for all the adventure activities in your specific program plan. Please check the details with your chosen insurance provider when purchasing your plan and know most plans do not automatically cover all activities and often you will have to add/purchase additional β€œriders” for adventure activities.

β€’ Medical Insurance – valid throughout your entire time abroad, covering clinic or hospital visits, illness, and emergencies

Your coverage must begin at least before or on the day you depart and end after you return home, fully covering your immersion experience dates.

2. πŸ“„ What You Will Need to Submit

To keep everything smooth and secure:

β€’ No less than 30 days prior to your departure date you will be required to upload a copy or clear photo of your insurance confirmation (showing your name, policy number, and provider)

β€’ Please remember to carry a digital or printed copy of your policy with you during your entire immersion experience.

These steps are required for participation and help ensure your safety.

3. 🀝 Your Responsibility

By joining HELP2SERVE.CARE immersion experience program, you agree to:

β€’ Purchase and maintain the required travel insurance

β€’ Confirm that your policy meets the minimum standards

β€’ Understand that HELP2SERVE.CARE does not provide insurance and is not liable for uncovered costs

β€’ Accept that failure to provide proof of insurance may result in removal from the program

We’re happy to answer any questions or guide you through your options!!!

4. 🧳 Strongly Recommended Coverage

In addition to the required coverage listed above, we highly recommend you include:

β€’ Baggage Loss or Theft Coverage

β€’ Baggage Delay Reimbursement

β€’ Trip Delay or Interruption Coverage

β€’ Accidental Death & Dismemberment (AD&D)

β€’ Repatriation of Remains

β€’ 24/7 Travel Assistance Services

And please know:

Travel insurance won’t cover every situation. Common exclusions include:

  • ❌ Incidents related to alcohol or drug use

  • ❌ Injuries from extreme or high-risk adventure activities (unless covered under a specific rider)

  • ❌ Non-emergency treatments that can wait until you're back home

  • ❌ Some pre-existing medical conditions

  • ❌ Ongoing care that is required after your return

5. ❀️ Health Insurance vs. Travel Insurance

Most domestic health plans do not cover international care. That’s why dedicated travel insurance is requiredβ€”it’s designed to protect you from the unexpected while you’re abroad.

6. 🌐 Where to Get Covered

You’re free to choose your own provider. Below is a list of several travel insurance companies and please know there are many more options to choose from, beyond those on this list:

  • World Nomads (worldnomads.com)
