🌍✨ Travel Insurance Commitment & Participant Agreement
At HELP2SERVE.CARE, your safety, well-being, and peace of mind are our top priorities. To ensure a secure and successful experience abroad, all participants are required to carry specific travel insurance. This agreement outlines what is needed and how we can support you in making sure you’re covered.
1. ✅ What You’re Required to Have
Before participating, you must purchase a travel insurance policy that includes at least the following:
• Trip Cancellation Protection – to help recover expenses if you’re unable to attend for an unexpected reason
• Emergency Medical & Evacuation Coverage – to support you in case of illness or injury
• Coverage for All Adventure Activities In Your Specific Program Plan – your adventure tour part of your program plan typically will include activities like ziplining, rafting, surfing, kayaking, or similar activities, (see your specific program plan of choice which will list all your adventure activities). Please know your policy must include coverage for all the adventure activities in your specific program plan. Please check the details with your chosen insurance provider when purchasing your plan and know most plans do not automatically cover all activities and often you will have to add/purchase additional “riders” for adventure activities.
• Medical Insurance – valid throughout your entire time abroad, covering clinic or hospital visits, illness, and emergencies
Your coverage must begin at least before or on the day you depart and end after you return home, fully covering your immersion experience dates.
2. 📄 What You Will Need to Submit
To keep everything smooth and secure:
• No less than 30 days prior to your departure date you will be required to upload a copy or clear photo of your insurance confirmation (showing your name, policy number, and provider)
• Please remember to carry a digital or printed copy of your policy with you during your entire immersion experience.
These steps are required for participation and help ensure your safety.
3. 🤝 Your Responsibility
By joining HELP2SERVE.CARE immersion experience program, you agree to:
• Purchase and maintain the required travel insurance
• Confirm that your policy meets the minimum standards
• Understand that HELP2SERVE.CARE does not provide insurance and is not liable for uncovered costs
• Accept that failure to provide proof of insurance may result in removal from the program
We’re happy to answer any questions or guide you through your options!!!
4. 🧳 Strongly Recommended Coverage
In addition to the required coverage listed above, we highly recommend you include:
• Baggage Loss or Theft Coverage
• Baggage Delay Reimbursement
• Trip Delay or Interruption Coverage
• Accidental Death & Dismemberment (AD&D)
• Repatriation of Remains
• 24/7 Travel Assistance Services
And please know:
Travel insurance won’t cover every situation. Common exclusions include:
5. ❤️ Health Insurance vs. Travel Insurance
Most domestic health plans do not cover international care. That’s why dedicated travel insurance is required—it’s designed to protect you from the unexpected while you’re abroad.
6. 🌐 Where to Get Covered
You’re free to choose your own provider. Below is a list of several travel insurance companies and please know there are many more options to choose from, beyond those on this list:
You can also:
• Consult a local travel agent
• Speak with your university or study abroad advisor
• Compare options using online travel insurance marketplaces
💡 Pro Tip: For full cancellation coverage, many providers require that your policy be purchased within 14 days of making your program deposit.
✅ Final Reminder
We want you to feel safe, supported, and prepared for a life-changing journey. Travel insurance is more than a requirement—it’s a smart and protective investment in your health, trip, and peace of mind.
If you have questions or want help choosing the right policy, we’re here for you!
Please know, no less than 30 days before departure you will be required to sign a confirmation agreement related to the travel insurance requirements. See below for an example of an agreement you will be required to sign 30 days prior to your trip departure.

✅ INITIATIVE
🌱 Jump in wholeheartedly and stay actively involved with an upbeat spirit. Your enthusiasm uplifts those around you and adds even more value to your journey.
✅ PATIENCE
⏳ The pace of life in your host community may be slower than what you're accustomed to. Embrace the change of tempo, go with ease, and find joy in the journey—not just the destination.
✅ ADAPTABILITY
🌦️ Schedules may shift. Roads may flood. Wi-Fi may be unpredictable. When you stay flexible and open to change, you'll discover growth in every moment. Embrace the detours—they often lead to the best stories.
✅ THOUGHTFULNESS
🤝 Communicate clearly. Let your local team know if you're running late. If you're feeling unwell or need help, alert your program leader so we can support you. Dependability matters.
✅ APPRECIATION
💙 Many local leaders and community members give their time out of compassion and purpose—not compensation. While your insights are valued, honoring their knowledge and long-standing dedication is key.
✅ WARMTH
😊 Make the first move—say hello, smile, and learn from those around you. Being open and approachable deepens your relationships and your impact.
✅ NEUTRALITY
🕊️ Avoid political discussions. This experience is about service, not politics. Please refrain from expressing personal political views or preferences while abroad. Staying neutral helps build trust and respect with local communities and fellow volunteers. Also, expressing political views via clothing or other non verbal actions or forms of media is also not permissible during your HELP2SERVE.CARE experience.
✅ OPEN-MINDEDNESS
🌍 The food, language, traditions, and sounds might feel unfamiliar at first and that’s okay! Dive in with curiosity. You’ll be amazed how quickly your comfort zone grows, embrace new experiences with curiosity and humility. With time, your perspective—and comfort zone—will expand in amazing ways.
Always Remember: You’re more than just a traveler. You are a guest, a teammate, and a cultural ambassador—for your country, school and or community, for the local organization(s) also trying to help those in need, and for HELP2SERVE.CARE.
At HELP2SERVE.CARE, your journey is about more than volunteering—it’s about respect, commitment, and purposeful impact. Please take a moment to understand the expectations that keep our experience safe, ethical, and empowering for all.
🔹 Follow the Lead of Clinical & Project Staff
All participants are expected to follow the rules, guidance, and policies set forth by both your local Project Coordinator and clinical leadership team.
🎯 Be Present & Committed
You are expected to participate fully in all volunteer activities unless illness or unforeseen emergencies arise. During your volunteering focused part of your immersion experience, sightseeing and side trips are only permitted during scheduled excursions outlined in your itinerary.
Program schedules are carefully designed by HELP2SERVE.CARE in collaboration with local partners and cannot be changed upon request. Any time-off requests must be for emergencies and approved by HELP2SERVE.CARE leadership.
Failure to follow your program schedule may result in immediate dismissal.

🛑 Volunteer Conduct & Clinical Boundaries
As a volunteer, your role is strictly observational. You will not provide direct patient care or medical intervention. All clinical experiences will be under the direct supervision of a licensed local healthcare professional.
🔒 Why This Matters:
Respecting patient safety, local laws, and medical regulations is not just important—it’s essential. We are guests in a host healthcare system, and professionalism is non-negotiable.
📵 No Devices During Clinical & Volunteer Activities
To ensure respect, privacy, and focus, phones, cameras, and recording devices are strictly prohibited during the following:
During these moments, devices must remain stored and silenced. You may use personal devices only during free time, and never within or near patient care areas or volunteer events.
📸 Want photos?
We’ve got you covered! Group leaders will help coordinate photo opportunities during appropriate times and locations—with permission—focused on your experience with fellow volunteers (not patients or clinical settings).
🙅♂️ Social Media & Privacy
Please do not post photos, videos, or recordings from any healthcare facility, training, or service activity. This includes:
⚠️ Always ask before capturing or sharing.
We want you to remember your experience—the right way.
⚖️ Legal & Ethical Boundaries for All Volunteers
Even if a licensed U.S. provider is present with your group (and one will be), your scope of practice as a foreign volunteer is extremely limited. This policy protects you, the patients, and the integrity of the program.
✅ All volunteers must sign a formal acknowledgment of these guidelines before departure.
🚨 Violation of these policies can lead to:
❤️ Thank You for Upholding These Standards
By honoring these policies, you demonstrate professionalism, respect, and cultural humility—qualities that define the very best future healthcare providers.

🛡️ Protect Your Health. Empower Your Journey.
🌍 As you prepare to serve internationally, one of the most important steps you can take is to protect your health—so you can focus on helping others.
✅ It is required and paramount for your own health, wellbeing, and safety while abroad to check in, well in advance of your chosen departure, with your Primary Care Provider and specialists if applicable. We recommend following the recommendations of your own health care provider(s) based on their review of our host country travel recommendations (for example required and or suggested vaccinations, preventative measures, etc.), and your own country resources and recommendations related to travel to the specific host country (for example required and or suggested vaccinations, preventative measures, etc.), and recommendations made based on your own specific medical history (see additional details below).
We strongly encourage you to schedule a visit with your healthcare provider(s) at least 6 months before your departure and as soon as possible prior to your departure date. Every traveler is unique, and your providers(s) can recommend the right vaccines, preventative measures, and or medications for your personal health needs and destination based on evidenced based practice and country specific resources.
📋 You’ll want to discuss and follow recommendations related to:
👨⚕️👩⚕️ Your Provider(s) + Our Host Country Recommendations + Your Home Country Recommendations = Your Best Protection
While you can look up in-host country guidelines and your home country guidelines based on you travel plans, your provider(s) can ensure you’re fully protected, you are up to date based on your medical history and itinerary, and you are taking the appropriate medical precautions for your immersion experience.
💡 Plan Ahead. Travel Confidently.
Vaccines often require multiple doses or time to become effective, so don’t delay. Early planning ensures peace of mind and eligibility to participate.
📌 Important Health & Safety Responsibility Notice
As a participant, it is your personal responsibility to ensure that you are up to date on all recommended and required vaccinations and to take appropriate preventive health measures before, during, and after your time abroad.
You are strongly encouraged to consult with your own licensed healthcare provider(s) well in advance of travel. Your provider’s advice should be based on:
You are responsible for making informed medical decisions that protect your health abroad. This includes considering your provider’s guidance on vaccination, medication, and any other recommended precautions specific to your own medical history and risks, your travel itinerary, and planned activities.
🔹 Please plan to consult your healthcare provider as soon as possible before departure, ideally 6 months prior to departure if possible.
Taking ownership of your health preparation ensures a safe, successful, and transformative experience—for you and for those you serve.
✍️ Pre-Departure Medical Responsibility Acknowledgment
Prior to departure, you will be required to sign a form confirming that:
Your signature will confirm your acknowledgment of this responsibility and your commitment to following the guidance provided by your medical provider(s) and any host country health requirements.
