Noโ€”flights are not included in your program fee. But donโ€™t worryโ€”we make it simple to travel with your group and arrive safely and confidently.


๐Ÿ‘‰ For every destination, we organize optional group flights at competitive rates. These flights typically depart from the region with the highest number of confirmed participants to help you travel together.


โœˆ๏ธ Prefer to book your own flight? Thatโ€™s absolutely fine! We can also connect you with other volunteers from your area (when possible), so you can coordinate independent travel if you choose.

Youโ€™ll receive two key travel documents leading up to your departure:


๐Ÿ“„ Generalized Program Plan

Published and sent to applicants who have already applied and have been accepted approximately 3 months before departure, this document includes many details including the following:


  • Group flight details (dates and times), including departure/return from designated airports
     
  • Where to meet for group flight boarding and check-in
     
  • Access and attendance information for your required attendance at the pre-departure meeting (held ~3 weeks prior to host country departure)


  • General information regarding the in-host country orientation timing at the in-host country arrival airport
     

๐Ÿ“„ Detailed Program Plan

Sent only to applicants who have already applied and have been accepted approximately 3 weeks before departure; this document will also be reviewed in your pre-departure meeting and includes among many other details the following:


  • Exact details regarding the in-host country orientation time and location at the designated in-host country airport
     
  • Note the required airport meeting point in the host country will be after immigration, outside security, but still within the airport itself (e.g,, typically at a lobby area within the airport)
     
  • Details on your private all participant transportation plan to start your volunteer immersion and to check into lodging with the group
     
  • Emergency contacts and contingency plans
     
  • Your final check-out meeting details and return airport transportation information that will occur on the last day of your immersion.
     

๐Ÿ›ฌ Required Host Country Arrival: Group & Independent Travelers


All participantsโ€”whether on a group or individual flightโ€”must arrive at the same host country airport at or before the latest group flight arrival time.


๐Ÿ“ There will be a Required Airport Arrival Orientation, held:


  • Inside the arrival airport lobby
     
  • After you pass through immigration and customs
     
  • About 1โ€“2 hours after the last group flight arrives
     

This is the first official in-host country meeting of your program and attendance is mandatory.


๐Ÿš Group Transportation from the Airport


After your brief orientation in the airport, youโ€™ll board required private transportation to your host community volunteer focused lodging.


โœ”๏ธ All transport is pre-arranged and included at no cost to you.


โฐ It departs only onceโ€”from a specific location at a specific time.


๐Ÿ“Œ No alternate free transportation options are available. If you miss this, youโ€™ll be responsible for any additional transportation costs. Please know not staying with the group is not following our safety regulations, and you may be asked not to continue in the program if you are putting yourself at risk, we are here to help keep you safe as our top priority.


๐Ÿ“… What Should I Know About My Flight Home?


Departure Day


Typically the day will start with an early breakfast, always a final check-out for all participants, and a warm goodbye. You'll then board your return airport transportation, included for:


  • All group flight participants
     
  • Independent travelers with matching or later flight times on the same day as the group flight departure(s).

โœ”๏ธ This return trip is optional for independent travelers, but remember:


๐Ÿ‘‰ There is only one shared shuttle to the airportโ€”no alternate free return transport will be offered.


๐Ÿ“ A brief check-out meeting is required for all participants, and will be held about 3 hours before the group flight departsโ€”typically in the accommodation lobby prior to anyone leaving to the airport.

๐Ÿ•’ Donโ€™t book flights until your Generalized Program Plan is published (~3 months before departure) and only after your have been accepted into your program plan of choice.

Match your arrival and departure times to the group flight(s) and remember you are required to use the included airport transportation from the host country arrival airport.

Welcome to the first day of your life-changing journey!


Today kicks off with excitement, connection, and purpose 

as you arrive in your host country and officially begin your HELP2SERVE.CARE immersion experience!


๐Ÿ›ฌ Required Airport Arrival & Orientation


All participants must arrive at the designated airport in the host country by the exact time and location noted in your pre-departure materials. Please know this required orientation and check-in will be schedule to occur approximately 1 to 2 hours after the group flight is scheduled to arrive (depending on typically customs waiting times) at the designated host country airport.


๐Ÿ“ A brief orientation and check-in will take place inside the arrival airport to ensure youโ€™re welcomed, informed, and ready.


๐Ÿš Private Group Transportation to Volunteer Lodging will occur shortly following orientation, all participants will travel together via required private group transport to your host community lodging.


โœ”๏ธ All transportation is pre-arranged, and is free to the participant but only departs at a specified time and location. There is no other free transportation options other than the prearranged private transportation offered to and from the airport and all other transportation arranged in advance for your entire immersion experience. Any alternate request for alternate transportation would be an out pocket of pocket expense to be paid by the participant. Please know not staying with the group is not following our safety regulations, and you may be asked not to continue in the program if you are putting yourself at risk--we are here to help keep you safe as our top priority.


๐Ÿฝ๏ธ Welcome Dinner & Team Bonding Upon arrival at your volunteer lodging, youโ€™ll check in, settle into your room, and join the group for your first dinner partyโ€”a night filled with introductions, laughter, and team-building activities to launch your immersive journey together.


Please remember to see your published group flight offer details ~ 3 months before departure date to best plan to purchase a group flight ticket or your individual flight to the same exact airport the group flights arrives. Be sure if you purchase a separate individual flightโ€”that your flight arrives earlier and no later that  the group flight is scheduled to arriveโ€”and to the exact same airport. Remember that is your choice to fly or not to fly on the optional group flight.


Also it is extremely important that you review your very detailed program planโ€”which will be updated once again and sent to all accepted applicants designated emails ~3 weeks before your departure date. We will also reviewing the very detailed program plan at your scheduled pre-departure meeting which will be scheduled ~3 weeks before your departure date. This updated very detailed program plan will denote the specific time and exact location of the โ€™Required In-Host Country Airport Brief Orientation and Check-Inโ€™ and the exact location for the land transportation departure location and the specific time of departure from the airport on this designated arrival day. The updated very detailed program plan will also include other details such as contact numbers and back up plans for emergencies for any unforeseen events on this day for example, a delayed flight.

  • Review the group flight info published and emailed to accepted applicants ~3 months before departure--consider if you want to purchase the group flight or and independent flight.

With health fair leads, U.S. nurse practitioners, OB/GYN team, public health educators, and mental health counselors. Prepares all participants for the day's stations and responsibilities.

Set up and host booths at community health fairs. Topics include:

  • Maternal & Child Health
  • Diabetes Prevention
  • Nutrition & Healthy Eating
  • Mental Health & Stress Relief
  • Weight & Vital Sign Checks
  • General Health Q&A (led by provider)

Lead interactive sessions, provide education using WHO/UN materials, assist in screenings, and collaborate with local professionals across all health domains.

Debrief with clinical leads, reflect on impact, identify urgent needs, and adjust plans with input from local providers and U.S. NP.

Continue to host booths at community health fairs. Topics include:

Door-to-door outreach in Community A, providing health education, completing wellness assessments, identifying urgent needs. Each small group includes a local provider and translator to assist with triage and build trust.

1:00โ€“2:00 PM โ€“ Midday Huddle (1 hr) 

Clinical and team debrief with input from local providers. Discuss challenges, successes, and community-specific observations from both locations.

Head to the lush mountains of Jarabacoa, the โ€œCity of Eternal Spring,โ€ where cool breezes and green hills welcome you to a new side of the island. After settling into your eco-lodge surrounded by pine forests and waterfalls, enjoy downtime to explore local cafรฉs or simply unwind.

โœˆ๏ธ Day 14: Departure Day

The day will start with an early breakfast, checkout of your accommodations, get in some quick hugs and prepare for: 


Private transport to the airport is required for all those on a group flight and optional to those individuals with independent flights needing this same same or later airport departure time frame on this same day.


๐Ÿ›ฌ Required check-out meeting on this morning for ALL participants and required airport transportation for ALL group flight participant unless they want to pay separately out of pocket. Note: optional free transportation will be offered at the same group flight departure time or for a later departure times for independent flight travelers on this same day (Note: there will be only one bus, leaving at one time to the airport on this same day; see more details below).


Please know this required check-out will be scheduled on this final adventure tour day, and this meeting will occur approximately 3 hours before the group flight is schedule to depart (depending on typical driving times to the airport). The location of this meeting will be likely in the accommodation lobby area and will consist of a quick check out required of all participants.


All participants and group flight participants are given no other free option if they do no with to take the private bus offered to the group flight members. Those who prefer to opt in to the final airport transportation option must board the private transportation that will be provided at the departure accommodation at the exact time and location noted in your pre-departure materials.


โœ”๏ธ All transportation is pre-arranged, and is free to the participant but only departs at a specified time and location. There is no other free transportation options other than the prearranged private transportation offered to and from the airport and all other transportation arranged in advance for your entire immersion experience. Any alternate request for alternate transportation would be an out pocket of pocket expense to be paid by the participant. Please know not staying with the group is not following our safety regulations, and you may be asked not to continue in the program if you are putting yourself at risk--we are here to help keep you safe as our top priority.

Please remember to see your published group flight offer details ~ 3 months before departure date to best plan to purchase a group flight ticket or your individual flight from the same exact airport the group flight departs. Be sure if you purchase a separate individual flightโ€”that your flight departs after and no earlier than the group flight is scheduled to leave the host country if you want to take the optional airport transportation that will be offeredโ€”to the exact same airport that the group flight leaves from on this last day. Remember that is your choice to fly or not to fly on the optional group flight or to take the transportation to the airport on this last day. (Note: it is not an option to not take the transportation from the airport on arrival into the host country)!


Also it is extremely important that you review your very detailed program planโ€”which will be updated once again and published for your chosen program plan and also sent to your designated email ~3 weeks before your departure date. We will also reviewing the very detailed program plan at your scheduled pre-departure meeting which will be scheduled ~3 weeks before your departure date. This updated very detailed program plan will denote the specific time and exact location of the โ€™Check-Out Meetingโ€™ and the exact location for the land transportation departure location and the specific time of departure from last days accommodations on this designated departure day. The updated very detailed program plan will also include other details such as contact numbers and back up plans for emergencies for any unforeseen events.

  • Either purchase a group flight ticket or match  your flight to depart at the same airport and no earlier than the group flight departure if you want to take the optional airport transportation that will be offeredโ€”on this final day. Remember that is your choice to fly or not to fly on the optional group flight.
  • Review your detailed final program plan (emailed to all accepted applicants) ~3 weeks before departure
  • Please know your required check-out location and time (e.g., in the am and typically in the final days accommodation lobby area). โณ Yes! During your volunteer experience with Help2Serve.Care, you will absolutely have some structured free time to unwind, explore, and enjoy your surroundings. While our travel tours offer an abundance of adventure and sightseeing opportunities, our volunteer weeks also include scheduled blocks of time for local exploration and relaxation.


However, your safety always comes firstโ€”which is why volunteers are not permitted to explore alone. Every free-time activity must be done in a small group, following our well-established safety protocol.

As part of every Help2Serve.Care trip, your safety is our top priority. Thatโ€™s why weโ€™ve implemented the following safety standards for all participants, especially during independent or free-time activities:

When engaging in any activities away from the main group, you must travel in groups of at least four fellow volunteers.


Why four? This โ€œTwo Pairs Methodโ€ ensures:


  • If someone gets injured or needs help, one person stays with them
  • The other two can go get assistance
  • No one is ever left alone


This buddy system will be introduced during your Pre-Departure Safety Training and reinforced each day during our Morning Safety Briefings.


๐Ÿ”„ Daily Safety Briefings


We will conduct:


  • A comprehensive safety and cultural expectations orientation during your Pre-Departure Meeting
  • Country-specific protocols customized to your destination
  • Morning safety reviews before daily excursions


These discussions will include key topics such as:


  • Local laws and customs
  • Cultural norms
  • Emergency procedures
  • Host country recommendations and travel alerts

๐ŸŒ As you prepare to serve internationally, one of the most important steps you can take is to protect your healthโ€”so you can focus on helping others.


โœ… It is required and paramount for your own health, wellbeing, and safety while abroad to check in, well in advance of your chosen departure, with your Primary Care Provider and specialists if applicable. We recommend following the recommendations of your own health care provider(s) based on their review of our host country travel recommendations (for example required and or suggested vaccinations, preventative measures, etc.), and your own country resources and recommendations related to travel to the specific host country (for example required and or suggested vaccinations, preventative measures, etc.), and recommendations made based on your own specific medical history (see additional details below).


We strongly encourage you to schedule a visit with your healthcare provider(s) at least  6 months before your departure and as soon as possible prior to your departure date. Every traveler is unique, and your providers(s) can recommend the right vaccines, preventative measures, and or medications for your personal health needs and destination based on evidenced based practice and country specific resources.


๐Ÿ“‹ Youโ€™ll want to discuss and follow recommendations related to:


  • Vaccinations recommended by your host country and by your home country and recommended by your provider(s)
  • Preventive medications (e.g., for malaria or travelerโ€™s diarrhea) recommended by your host country and by your home country and recommended by your provider(s)
  • Any personal health conditions to consider while traveling and follow recommendations made by your provider(s)
  • Other suggestions provided by your provider(s)

You are responsible for making informed medical decisions that protect your health abroad. Prior to departure, you will be required to sign a form confirming that:
