Large Group (more than 3 people) Application Instructions

Are you planning to travel as a large group (more than 3 individuals) for this trip?

If “NO”: You may skip this entire section.

If “YES”: Please read carefully and follow every step below.

Important Processing Rules

First come, first served: Applications are processed in the order received, so it’s important to act quickly for your group.

Short, time-limited holds: Acting quickly allows us to place a very short hold on slots for your potential applicants once you email us (details below).

What You Must Include in Your Application (Long-Answer Response)

While completing your own individual application, please answer the following in the long-answer section for this question:

Question #1 — Group Name

List the name of your group.

The name should be an agreed-upon identifier used exactly the same by all applicants in your group.

Coordinate with your group before you submit—especially if you are the first applicant—so everyone uses the identical name.

Any name is acceptable as long as all members use the same one; please try to reference your institution or location in the name.

Example: OSU BSN Nurses.

Question #2 — Group Size

List the number of potential volunteers in your group.

Question #3 — Ambassador/Faculty/Mentor/Leader (if applicable)

If you have a HELP2SERVE.CARE formal Ambassador, Faculty, Mentor, or Leader, list that person’s full first and last name and the email they provided to you.

The Required Email (So We Can Place a Short Hold)

As soon as possible, one member of your group must email us at info@help2serve.care with the exact same content you provided in your application for #1, #2, and #3 above—again, as soon as possible.

Once we process your email, we can place a short hold (e.g., 3 to 5 days) on your chosen date to allow time for applicants in your group to apply.

Confirmation Notice (What Does—and Does Not—Create a Hold)

Submitting the information in the application alone does not place a hold on your requested date for any period of time.

Only the email to info@help2serve.care and our response to that email confirm a hold for a specific time period for your group.

Therefore, complete #1, #2, and #3 in your application AND send the same information by email to info@help2serve.care as soon as possible.

72-hour rule for small groups: All members of your small group must submit their individual applications within 72 hours of one another so we can process them together and help ensure you can travel on your preferred date.

Email required to link your applications: You must also send us an email (details below) so we know to process your applications together.

To join a HELP2SERVE.CARE Immersion Program, generally you must be at least 18 years old by the time your program begins in your host country. There are special accommodations that can be made for younger participants, but approval must be granted prior to applying.

This age requirement helps ensure all participants are prepared for the independence, responsibility, and professionalism expected during international volunteer service.

No—you don’t need to speak the local language to participate, but learning a few key phrases will absolutely enhance your experience!

🌟 Please note: Since HELP2SERVE.CARE programs are conducted in English, you do need to have at least an intermediate (B1) level of English—enough to read, speak, and understand instructions clearly.

• Can understand the main points of clear, standard input on familiar matters (school, work, travel).

• Can produce simple connected text on familiar topics and describe experiences, events, and opinions.
